Terms & Conditions
The Booker must provide in writing to (our email address), a detailed plan of what is required or details of their request and where each item is to be set up.
Should the set up be at a venue, a contact person employed at the venue should be identified by the Booker and their contact details provided to us.
If no set up details are provided, Be Our Guest Occasions will make best judgement as to where to position the display(s).
Once our displays are set up, no one other than Be Our Guest Occasions personnel will be permitted to move or dismantle them.
The displays/equipment/lighting must not be moved or tampered with. We have the right to charge for any damages caused by the movement/tampering/dismantling of any of our displays.
Be Our Guest Occasions will ascertain the size and accessibility of all venues and advise the Booker accordingly.
The Booker who agrees to our Terms & Conditions at the time of an initial deposit being made, is responsible for any damages caused during the period of the booking.
If for any reason any of our equipment (lighting etc) stop working or a balloon display starts to delate, the Booker should call 07488 274136 immediately.
A refundable damage deposit (to the value of the equipment ordered/hired) is required at the time of booking. This will be returned as soon as possible after Be Our Guest Occasions personnel have dismantled the display and inspected the equipment for any damage.
Please note that it is the Booker’s responsibility, prior to booking, that our displays and the displays ordered, fit the venue. We will provide you with approximate sizes of our displays during our correspondence with the Booker.
It is also the responsibility of the Booker that our equipment/lighting etc is safe and secure, once Be Our Guest Occasions personnel have set them up. Any items lost or stolen, the Booker is responsible for replacing them.
We will liaise with the Booker on when we can collect our equipment and the Booker should also provide the contact details of an employee at the venue and details of times when Be Our Guest personnel can access the venue to dismantle and remove our equipment.
Be Our Guest Occasions will ensure that all electrical equipment (lighting) is PAT tested.
The Booker will be responsible to inform the venue of their booking with Be Our Guest Occasions and must ensure that the venue has agreed that Be Our Guest Occasions can provide what the Booker has ordered. We do ask that you advise us of any set up/access restrictions. Should we be unable to set up due to these restrictions and not having been advised of them by the Booker, Be Our Guest Occasions will still charge the contracted amount payable.
Some equipment we use may become hot (lighting) and we take no responsibility if someone burns themselves through inappropriate tampering/handling. No unauthorised personnel are permitted to use our equipment without prior training from Be Our Guest Occasions personnel.
If for any reason, Be Our Guest Occasions need to cancel your booking due to circumstances beyond their control, we will try our utmost to secure another supplier. If we are unable to secure an alternative supplier, then a full refund will be paid to the Booker within 31 days.
We ask that the Booker and their guests adhere to the Balloon Care points below:
● Whilst forming part of a display, the balloons and arch/hoops, should not be touched;● Keep balloons out of direct sunlight and in a cool room (as much as practically possible) and● When taking the balloons home (after dismantling the display), dispose of all balloon waste appropriately.
A 25% non-refundable deposit is required to secure your booking/occasion date. Once the deposit has been received, this would then be classed as a ‘confirmed booking’. An email from the Booker agreeing to our Terms & Conditions is required.
The remaining 75% balance as well as the damage deposit is required 4 weeks before the event date. (In the case of short notice bookings, we are flexible, but in most instances, full payment and damage deposit will be required immediately).
We do reserve the right to cancel any booking where the full balance and/or damage deposit have not been paid.
Payments can be made by Bank transfer and by PayPal, and details of each will be provided to the Booker.
We will send an invoice to the Booker, once the 25% non-refundable deposit payment has been made.
We do not offer post event invoicing facilities.
